Terms & Conditions Agreement


Tour Price Guarantee: Kindly note that our tour and holiday prices do not include airfares, and are subject to change without prior notice due to unpredictability of currency rates and tour arrangement costs. Nonetheless, once we receive your initial deposit the tour you have selected is a guarantee.

Tour Price Inclusions (unless otherwise stated):

  • Entrance fees to all tourist sites as seen in the tour or custom package you have selected.
  • All your breakfasts are complimentary.
  • Other meals as stated in the itinerary.
  • Accommodations each night in the heart of each city
  • Sightseeing tours by The Chariot professional tour guides
  • Local site guides at destination tourist attractions
  • Tour coordinators for larger groups
  • Chauffeured driven modern air conditioned vehicles to and fro all tourist attractions and hotels as stated in your tour program or detailed itinerary
  • Maps
  • Night tours (if stated in your custom tour package).
  • Exclusions
  • Lunch is mostly out in town on tour and borne by tour participant unless otherwise stated.
  • International and internal flights unless specified.
  • Visa and Passport fees
  • Optional activities and personal expenses
  • Travel Insurance (from country of origin; loss of baggage, flight delay etc)

Itineraries: Africa is an amazing destination; full of surprises and The Chariot will provide you with the best possible tour by being flexible enough to take advantage of whatever comes along. In case that happens, uncompleted portions of the tour itinerary as stated in your detailed tour itinerary will not be a cause for refund. This is what is termed as “swapping detailed itineraries”.

Deposit Requirements: Having agreed to our terms and conditions, a 25% deposit of the selling price of the selected tour price per person must be made paid. Payment via bank transfer should be made to The Chariot or The Chariot’s Trusted Partners only. Payment in US Dollars (USD).

A tour contract will be sent to you stating your 75% payment instalment plan.

Kindly note that your final selected tour payment will be due at least 30 working days prior to the commencement of the tour. The Chariot will however notify you via email when it is almost due although listed on your initial tour contract and tour invoice.

A notification for a tour in less than 45 working days will attract a full deposit of the selected tour price. And that deposit portion is non-refundable.

Reservations: As soon as we receive the payment, we will start securing your reservations. If any of the proposed accommodation is not available at the time of booking, we will select alternative of a similar standard. A price difference may incur, sometimes more, sometimes less and the balance of the payment will be adjusted accordingly. Availability of the hotels can be checked prior to booking upon request, however no space can be held or guaranteed without a deposit payment.

Confirmation: After all your reservations are made and secured, you will receive a confirmed travel itinerary with all services noted along with our local destination management contract details. Upon your arrival in destination country you will receive any further documentation essential for your tour program.

Clients Responsibility: The making of a booking constitutes your acceptance of all booking terms and conditions as described here and forms the basis of your contract with The Chariot.


Cancellation Policy: All cancellations must be made in writing to The Chariot by email. No responsibility is taken for cancellations of hotel bookings or any other extra services which have been made directly by the client.

Cancellation by The Chariot: For any tangible reason beyond The Chariots’ control that an entire tour or a certain part in a tour itinerary should cancelled, the full tour price will be refunded to you within 14 working days after the tours cancellation. After such an occurrence, The Chariot and its representatives have no other obligations towards tour participants on such cancelled bookings. The Chariot will also not be subjected to any additional costs or fees related to the issuance and/or cancellation of airline tickets, hotel or any other travel reservations not made by The Chariot.

Cancellation by Prospective Tour Participant: For qualifying and tangible reasons such as medical and family attention or emergencies, The Chariot will refund to you a calculated 80% of each missed tour day of the total selling tour price. However, should you abandon the full tour or some parts of the tours itinerary for (a) non-qualifying & intangible reason (s), no refund is applicable.


Transfers: You can transfer to any other tour in the same calendar year up to 28days prior to your tour’s departure when you have a change in plans and your existing deposit fee will be applied without a transfer fee. For example; should you decide to transfer to a different departure date within for the same itinerary in the same year, your initial tour price will remain same.

However, if you transfer to a different tour itinerary, the new selected tour’s price effective on the date we confirm your transfer, will be applied. Transfers less than 28days before your tour departure date may not be possible.

An entire tour can also be postponed to a later date but a different tour price will be applicable because of currency fluctuations and other costs.


If you have a complaint about your trip please inform your tour leader or our local representative at the time in order that they can attempt to rectify the matter. If satisfaction is not reached through these means then any further complaint should be put in writing to us within 30 days of the end of the tour.


You consent to us using images of you taken during the trip for advertising and promotional purposes in any medium we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes. Kindly opt out of such if otherwise.


Any personal information that we collect about you may be used for any purpose associated with the operation of a tour or to send you marketing material in relation to our events and special offers. The information may be disclosed to our agents, service providers or other suppliers to enable us to operate the tour. We will otherwise treat your details in accordance with our privacy policy.
